Here’s how I turned my chaotic inbox into a calm, scalable operation:
Create a “Repeat Questions” List
Let’s face it – if 3 customers ask the same thing this week, 50 more will ask it next week.
The problem isn’t the question.
The problem is that you keep answering it like it’s the first time.
What helped me was starting what I now call The Dumb & Repetitive Question List.
Literally opened a Google Doc, titled it “FAQ Bank,”
And anytime someone asked me a question I had answered before, I didn’t reply straight.
I dropped the question into that doc and wrote the best, clearest version of the answer – once.
“How long is delivery?”
“Will it work for my skin type?”
“Is this payment on delivery?”
“Where are you located?”
Write it once. Store it. Done.

WhatsApp Business “Quick Replies”
Instagram Saved Replies
Notes App
Or voice notes stored in a WhatsApp group for staff
The tool doesn’t matter. The habit does.
Build Answer Templates You Can Reuse
The day I realized I was typing “Hi ma, yes it works for oily skin…” for the 117th time, I wanted to throw my phone.
That’s when I built my copy-and-paste reply bank.
Not just for customers.
For staff too.
I created:
Text-based scripts: For common WhatsApp and IG DM replies
Voice notes: For when I was too tired to type but still needed clarity
Screenshots: Of explanations I had typed once and never wanted to write again
Canned responses: For TiktTok, IG and WhatsApp Business
Now when someone asks, I don’t type – I forward.
Simple.
This one thing saved me 5–10 hours every single week.
And here’s the kicker…
Time saved = energy gained = space to actually think about growth.
It’s like buying back your brainpower.
Train Your Staff With SOPs
Every time a staff member asked me, “What should I reply to this customer?”
I didn’t just answer them – I documented the answer.
Then the next time they asked… I didn’t say a word.
I just sent them the doc or told them, “Check the SOP.”
Within weeks, I had a whole folder of repeatable answers, instructions, and mini-training notes.
